Organizing

Folders, walks, and databases

There are two ways to organize walk records

  1. Use folders
  2. Use databases

1. Using folders

The plus button in the upper right corner of the walk listing allows you to create a new folder.

Folders will operate as true folders: both walk records and folders can be stored in folders.

a. Drag/drop into a folder in the window

A long press on a walk or folder record will enable the item to be moved. Moving it on top of a folder will initiate a drop request

Pressing the Yes, drop button will confirm the drop and move the record into the folder.

The moved record will disappear from the window, assuming you are using the folder or icon view. It may or may not disappear in the list view, depending on whether the folder is in an open or closed state.

b. Drag/drop into a folder that is outside of the view

A long press on a walk or folder record will always enable the item to be moved and dropped. However, if the target folder is not visible in the window, a folder-only column can be opened to facilitate dropping the item into the target folder.

The toolbar button to open the folder column looks like this:

This particular example is trivial because there is only one folder in the system. However, once your database becomes filled with walk and folder records, using the two-column approach can be useful.

2. Using multiple databases

The paid version of NatureNotes allows you to create databases in addition to the default Walks database.

Multiple database access needs to be turned on by an option in the main menu.

.

Open the database window by selecting the active database name at the top of the walk listing. The default database name is always Walks.

Create a new database

Press the plus sign in the upper right of the window..

Enter a new database name then press Save.

Selecting the new database makes it active.

Reorganizing into the new database

In this example we want to move all the Pinnacles records into a new database called Pinnacles.

Return to the database containing the walk records. In this example they are in WALKS.

Left-slide the Pinnacles header record, then select More…

Select Copy to another database, then press Yes, select the database.

Select the database then press Select.

When prompted to copy the database, select Yes.

When the database has finished being copied a dialog box will appear. If the dialog box reports Sucess, then the database should have been copied correctly.

Delete the old folder

If you’re satisfied the copy was correct, you can delete the old folder.

To delete the folder, left-swipe the folder record, then select More…, then Delete. Confirm the deletion to move everything into the trash.

As usual, open the trash to delete everything permanently.

Databases simplify organizing records for long trips

Creating a new database for a longer trip that will contain multiple walk records may be a preferable way to organize and keep track of your records.

Alternatively, of course, you can have a single large database that contains everything, organized within a hierarchy of folders. This is a matter of personal preference, since either method will work.

However, a disadvantage with organizing into multiple databases is that global search functions will not work across databases. It may be optimal to keep duplicate records in case global search is useful.
